A Total Quality Management initiative that raises the standards of community association management in an unprecedented way.

The employee owners of The Management Trust strive to provide community associations with the highest level of professional management service. In keeping with that pursuit, we view the relationship with our service partners as a vital component of our mutual success and growth.  By setting forth clear performance standards and employing proper risk management best practices, we believe that our relationship with enrolled service partners will be strengthened, communications will be facilitated, and the service provided to our mutual community association clients will be enhanced through our Trusted Partners Program.

The Trusted Partners Program is comprised of a few key components, which are more fully described throughout this document.  The key components include:

  • Management Trust provided general liability “wrap” insurance policy covering all service providers enrolled in the Trusted Partners Program to ensure proper and continuous contractor liability coverage, protecting the interests of all Management Trust clients. The enrolled Trusted Partner will pay a risk management fee based on their prior twelve months accounts payable activity with all divisions of The Management Trust, or a minimum risk management fee of $500.00, whichever is greater.  This premium may be deducted from the enrolled partner’s existing general liability policy, and is guaranteed to be less expensive than the partner’s existing contractor liability policy by a minimum of 10%.
  • A $2,500 service satisfaction guarantee, financed by The Management Trust, covering work performed by enrolled vendors while serving our client communities.
  • Consistent service and communication protocols throughout the various offices and community association clients of The Management Trust.
  • Promotion and profiles of enrolled Trusted Partners on The Management Trust’s website and other company collateral printed and digital materials.  Enrolled partners will be provided the Trusted Partner program logo for use on business cards, letterhead, website and other marketing materials of the enrolled service provider.

 

The Management Trust’s Contractor Liability “Wrap” Policy

In order to ensure that client communities of The Management Trust are properly and continuously protected from issues related to contractor liability, we have used our vast purchasing power to secure a more cost-effective liability “wrap” policy covering all properties under our management served by our Trusted Partners.

The Management Trust’s Contractor Liability Policy has been underwritten by some of the strongest companies in the industry and contains very comprehensive policy terms for the protection of our mutual community association clients.  Our underwriters for this program and their respective AM Best ratings are:

  • Gemini Insurance Company (Part of the Berkley Group): A+ XV  AM Best Rating
  • Navigators Insurance CompanyAX AM Best Rating

 

Service providers enrolled in the Trusted Partners Program should notify existing liability carriers of the existence of The Trust’s wrap policy. Your existing premiums will be reduced by a percent commensurate to the percentage Management Trust derived revenue represents to your overall business. Once enrolled, a certificate of insurance will be promptly issued to you.   

We are proud to provide this coverage to our Trusted Partners as part of your program enrollment fee, as proper liability coverage for services performed at community associations is both expensive and difficult to secure in the homeowner association industry. The Management Trust has used its vast purchasing power to ensure that the lowest possible premium will be paid by each enrolled Trusted Partner.  While savings could be as great as 30-40%, each Trusted Partner is guaranteed to save at least 10% compared to their current contractor liability premium.   

Please note that enrollment for the insurance portion of the program will be handled by our risk management partners at Arthur J. Gallagher Risk Management Services, Inc.

The Service Satisfaction Guarantee

The Management Trust understands that every unit under our care is someone’s home.  Accordingly, we expect the highest standards of professionalism and service from our self and our service providers.  In the spirit of this partnership, the Service Satisfaction Guarantee offered through our Trusted Partners Program ensures our clients that if they are dissatisfied with the work provided by our enrolled service providers, we will first work with the Trusted Partner to resolve the issue.  If resolution cannot be reached, The Management Trust will arrange and pay for the necessary remediation (up to $2,500.00 per enrolled partner/year/community). 

Aligning The Management Trust and our Trusted Partners in the pursuit of the total client satisfaction raises the bar for the community management industry.  It is an appropriate step to differentiate The Management Trust and our Trusted Partners from our respective competitors.

General Service and Communication Protocols

The Trusted Partner acknowledges that the quality of their service directly contributes to the success of the client community, and has a direct impact on the quality of life for the community’s residents.  Accordingly, in the interest of achieving the highest degree of professionalism and service, the Trusted Partner agrees to the following:

  • Unless an emergency, work within the community premises must be performed between the hours of 7:00 A.M. and 6:00 P.M. (hours may differ in certain markets served by The Management Trust)
  • If work is to be performed inside a residential unit, or within a patio area or other exclusive use area, the resident must be contacted prior to commencing work.
  • Upon leaving a residential unit or any enclosed patio area, the Trusted Partner shall leave a business card or some other means of alerting the resident to your presence.
  • All workers must wear a uniform or identification badge on the community premises at all times.
  • All community grounds and residential units must be left in a clean and safe condition at the completion of any job and/or at the end or any work day.

 

Invoicing and Payment Processing

Each invoice submitted to The Management Trust for payment must be in the name of the association, and will reference either a service request number or a contract for authorization. Because no payments will be made on invoices without a service request number or contract reference, the Trusted Partner must secure such a number prior to commencing work.

Compliance, Licensing & Professional Affiliations

Trusted Partner must certify that a current Injury and Illness Prevention Plan is in place (California only).  This policy ensures that the Trusted Partner employs safe work practices, thereby minimizing work related injury and liability.

Trusted Partner must provide a copy of all appropriate licenses issued by state(s) in which services are provided. If unlicensed, a disclosure to that effect must be made in writing to The Management Trust.

Affiliate membership in an appropriate community association trade organization such as Community Associations Institute (CAI) or California Association of Community Managers (CACM) is encouraged. Membership in such and organization will demonstrate a commitment to our industry, and will offer the Trusted Partner a greater understanding of the community association management industry.

Promotion of Trusted Partner Status

Participating in the Trusted Partners program will demonstrate that you subscribe to the highest levels of service and quality, and thus give the enrolled partner a competitive advantage over non-enrolled service providers. In honor of those high standards, The Management Trust will promote our Trusted Partners in a variety of ways. Profiles of Trusted Partners will be integrated into The Management Trust’s various promotional and relationship media, including The Management Trust website and social media outlets, email blasts to current and prospective clients, and “The Faces of The Management Trust” inserts.  Profiles will be made in order of enrollment into the program.

Additionally, each Trusted Partner will be given program logo “bugs” that may be used on the enrolled partner’s letterhead, business cards or other promotional materials announcing your involvement in this prestigious program.
